Patient Acquisition Coordinator
The Patient Acquisition Coordinator plays a critical role in driving patient growth and improving access to care by tracking the Intensive Outpatient Program (IOP) intake process from initial inquiry through authorization and scheduling. This role bridges business development and operations, ensuring a seamless, patient-centered onboarding experience while supporting efforts to re-engage inactive discharged patients. The coordinator will assist in addressing and resolving requests from referral partners, like probation and parole. The ideal candidate is highly organized, process-driven, and passionate about improving patient access and experience.
Key Responsibilities
IOP
Track the IOP intake process from first contact through authorization and group placement.
Patient Outreach & Engagement
Track inactive, deferred, or unconverted patient inquiries
Conduct structured outreach to re-engage patients and support conversion to scheduled care
Maintain accurate tracking and reporting of outreach efforts and outcomes
Referral Partner Reporting
Track and troubleshoot referral partner reporting for special populations like probation and parole.
Follow up and resolve referral partner requests for updates
Operations & Workflow Optimization
Collaborate with Business Development and Operations teams to evaluate and improve patient onboarding workflows
Track and update referral partner workflows
Identify bottlenecks, inefficiencies, and opportunities to improve conversion and patient experience
Help develop, document, and maintain standard operating procedures related to intake and onboarding
Data Tracking & Reporting
Track key patient acquisition metrics including inquiry volume, conversion rates, and scheduling timelines
Provide regular reports and insights to leadership to support growth strategies
Ensure CRM or intake systems are kept up to date and used consistently
Cross-Functional Collaboration
Work closely with clinical, administrative, and marketing teams to align patient acquisition efforts
Support broader business development initiatives as needed
Qualifications
Required
2+ years of experience in healthcare intake, patient coordination, admissions, or business development
Strong organizational and process-management skills
Excellent communication skills with a patient-centered approach
Experience working with EHRs, CRMs, or intake management systems
Preferred
Experience in behavioral health, mental health, or substance use treatment settings
Familiarity with IOP or outpatient program workflows
Experience in process improvement or operational optimization
